Privacy Policy

This explains what Pape Signature Solutions collects, why, how long it is kept, and who else can see it. It is written plainly on purpose — there is one part of notary work where the honest answer is not what people expect, and it is called out clearly below.

Who we are

Pape Signature Solutions is a mobile notary public and certified loan signing agent commissioned in the State of Texas, serving the Greater Houston area. You can reach us at amanda@papesignaturesolutions.com or 2817065723.

What we collect

Only what is needed to do the work and to comply with Texas law.

  • Contact details — your name, email address, phone number and the address where you would like to meet.
  • Appointment details — the type of document, the number of signers, the date and time, and any access notes you give us (a hospital room number, a gate code).
  • Notarial records — the information Texas requires a notary to record for every act. See the section below, because this one works differently.
  • Payment information — handled by our payment processor. We never see or store your full card number.
  • Basic website analytics — aggregate page visits. No advertising trackers, no profiles, no data sold or shared with advertisers.

The notary record book is public information

Texas law requires every notary to keep a record of the notarial acts they perform, and under Tex. Gov’t Code §406.014 the entries in that record book are public information. We cannot promise to keep them private, because the law says otherwise.

If someone requests a copy of a record book entry, we are obliged to provide it, at the fees Texas sets — $0.50 per page, plus $6 for a certified copy.

What goes into that record is narrow and fixed by statute: the date of the document, the date of the notarization, the signer’s name and mailing address, and how identity was established — whether you were personally known, or shown a government-issued ID or a passport.

We record the method of identification. We do not record, photograph or store your driver’s license number, your ID image, or any biometric data. The statute does not require it, and for online notarizations the rules expressly forbid capturing it.

Documents you send us

Documents you upload or email so we can prepare for an appointment are stored encrypted, are visible only to your notary, and are deleted on a set schedule once the work is complete.

We do not store mortgage or loan-closing packages. Those are delivered and returned through the title company’s or lender’s own system, and they remain the custodian of that file.

How long we keep things

  • Notarial records — 10 years from the date of notarization for in-person acts, as Texas requires. We are not permitted to delete these early, even at your request.
  • Remote online notarizations — 5 years, including the audio-video recording of the session, plus a separate backup, both kept secure and under the notary’s control.
  • Contact and appointment details — kept while you are an active client and for a reasonable period afterwards for accounting and tax purposes.
  • Uploaded documents — deleted shortly after the appointment is complete.

Remote online notarization

If we notarize for you by video, Texas requires an approved third-party provider to verify your identity. That involves confirming your government-issued ID and asking you a short quiz drawn from public records. The session is recorded.

That provider handles the identity check and the recording; we receive the outcome, not your underlying credit-file or biometric data. The confidential parts of the check — your ID images, the quiz questions and answers — are deliberately excluded from the recording.

Who else sees your information

We do not sell your information, and we never will. We share it only with the services needed to run the business:

  • Our hosting and database provider, which stores this site and its records securely.
  • Our payment processor, for invoices and payments.
  • Our calendar and email providers, for scheduling and confirmations.
  • An approved identity-verification provider, for remote online notarizations only.
  • The title company, lender or attorney who engaged us — where they are the client and the work is theirs.
  • Anyone we are legally required to provide records to, including public requests for record book entries as described above.

Your choices

You can ask us what we hold about you, ask us to correct it, or ask us to delete it. We will do so wherever we are free to — the exception is the notarial record, which Texas requires us to retain for the periods above.

You can opt out of appointment reminders and follow-up messages at any time; that will not affect service.

Children

This site is not directed at children, and we do not knowingly collect information from anyone under 13.

Changes

If this policy changes we will update the date at the top. Material changes will be highlighted on this page.
